Policy Overview
The health and safety of all workers is of the utmost concern to Ideal. The safety of our workers, the public, and Ideal’s operations is vital to the success of the business. We must partner together to ensure a safe and productive working environment for all.
Policy
Ideal is committed to:
- Assigning workers to safe working environments. We advise all Ideal clients that Ideal’s expectation is that the worksite provided meets or exceeds all workplace safety requirements.
- Safety is everyone’s responsibility. You must listen to, understand, and comply with all safety instructions provided to you while you are on any Ideal client’s job site.
- Promoting dignity and respect in all its workplaces;
- Adopting a preventative and strategic approach to health and safety;
- Supporting and promoting health and wellbeing;
- Meaningful consultation with workers, their representatives and others on work health and safety issues;
- Reporting incidents in accordance with statutory and regulatory obligations and internal policy requirements so that action can be taken to manage the incident and prevent further incidents; and
- Applying current best practice in health and safety management.
- If you become aware of minor safety concerns, like spills that create a fall hazard, you are encouraged to notify the on-site supervisory team so the problem can be fixed.
- If you feel the job site is so unsafe that you cannot safely perform the job duties assigned to you, please contact Ideal immediately (WorkerSupport@ideal.com). Ideal will communicate directly with the Ideal clients on these topics, and you will not be subjected to consequences for raising good-faith concerns about workplace safety.
- If you feel you cannot safely perform the essential functions of any job available through Ideal, you should not sign up for that shift.
- If you learn of additional duties that you feel you cannot safely perform that were not initially included, please let the on-site supervisor know you cannot safely perform the function. If there is any concern, contact Ideal at WorkerSupport@ideal.com.
- By signing up for a shift, you are confirming that you believe you can safely perform the identified job duties.
- You may not simply walk off the job without contacting Ideal.
- You may not address significant safety issues with the Ideal client unless you are being asked to perform some duty or be present in an environment that you believe constitutes a clear and present safety threat. In that case, simply advise the on-site supervisor that you believe the worksite is unsafe and you will contact Ideal for further instructions.
Scope
Ideal’s Health and Safety Policy is built on the following guidelines:
- Accident prevention shall be an integral part of all job procedures;
- Workers must report all injuries, regardless of their extent, to Ideal support and to the person in charge of the first aid station immediately after the injury occurs;
- Supervisors to whom incidents are reported are required to immediately notify HR of any incidents;
- All accidents shall be investigated by the Company, and, if applicable, reported to the location Health and Safety Committee (the “HSC”);
- Management is responsible for development, installation, operation, administration, and supervision of the safety program as outlined herein;
- An HSC/representative will be designated and available to Ideal workers where required;
- Ideal and all workers will comply with the applicable Federal, State, and Local health and safety legislation; and
- Workers who fail to observe safety rules, to use safety equipment provided, to practice safety at all times, and who otherwise violate this policy will be subject to discipline up to and including termination of employment for cause.
Policy Requirements
Workers are encouraged to take the initiative, as individuals or departments, to improve existing programs and/or develop and recommend additional methods or programs. Equally important is management and worker commitment and involvement in the total health and safety efforts. Any accident or hazard that results in or may result in injury to a worker or damage to equipment must be reported and thoroughly investigated.
The responsibilities for ensuring a safe and healthy workplace are shared by everyone at Ideal. To that extent, in addition to the above general guidelines, workers, management and HSCs (where required) each have specific duties and obligations to adhere to as detailed below.
Worker Responsibilities
Each worker shall:
- Follow the requirements set out in this policy.
- Apply consistent and continuous effort to promote health and safety, to prevent any workplace accident and maintain the workplace in a safe condition.
- Work safely, cooperatively, and in compliance with accepted work practices, procedures and legislated health and safety standards, including working cooperatively with the Ideal Client.
- Maintain a work area free of any hazard.
- Report every hazard or unsafe condition to Ideal Support after taking appropriate immediate action. Anonymous reporting can be made through EthicsPoint (3rd Party system for anonymously reporting any potential unethical misconduct) by calling 1-866-384-4277 or ethicspoint.com.
- Report any known contravention of applicable health and safety legislation.
- Ensure they are familiar with their personal obligations under legislated health and safety standards.
- Cooperate with any person exercising a duty imposed by legislation.
Management Responsibilities
Management shall ensure:
- This Policy is reviewed at least once a year, or sooner as required, and an implementation program is in place.
- All requisite postings and notifications required by relevant Federal, State, or Local law or regulation are provided to the workers compliant with applicable workplace safety obligations.
- All workers have access to this Policy in the Ideal app.
- The workplace is in compliance with statutory and regulatory obligations.
- Regular health and safety meetings are held to review health and safety activities and incidents.
- Every Ideal client is required to providing a workplace facility which is adequately maintained, and any hazard is identified and corrected.
- Assistance is provided in the event of a medical emergency.
- Accidents, injuries, and workplace violence reports are reviewed and investigated in accordance with legislation.
- Any work refusal is investigated.
- Appropriate authorities are notified, and reports are submitted pursuant to statutory reporting requirements.
- Every Ideal client is committed to ensuring workers are supervised by a person who is competent and familiar with the obligations under applicable health and safety legislation, and that the supervisor is adequately trained regarding these obligations.
- Workers perform work safely and in compliance with accepted work practices, procedures and legislated health and safety standards.
- Every Ideal client is committed to ensuring workers use or wear the equipment and protective devices Ideal requires be used or worn and does so in compliance with the applicable health and safety legislation.
- Workers are advised of the existence of any potential or actual danger to the health or safety of the worker.
- Every Ideal client is committed to ensuring client supervisors are trained to identify, analyze, and control new or existing safety or health hazards or conditions, and that supervisors are empowered to take immediate corrective action, when appropriate, to correct the hazard, and/or to report the hazard to Management for corrective action.
- Sufficient support, resources and funding are provided to enable the locational HSCs (where required) to carry out its responsibilities, including:
- Responding to any recommendations of the health and safety committee.
- Providing the health and safety committee with any information the committee has the power to obtain from Ideal in accordance with applicable health and safety legislation.
- Providing the health and safety committee with copies of all orders and reports issued by any relevant governmental entity (State, Federal, or Local), and as required by applicable health and safety legislation.
- Consulting with the HSC when conducting a workplace risk assessment and provide the health and safety committee with a copy of the written report of the assessment.
- Identifying the names of the HSC members through postings in a manner visible to workers as discussed below.
- Supervisors must ensure they are familiar with their personal obligations under legislated health and safety standards.
Health and Safety Committees
As required under applicable health and safety legislation, an HSC will be established to help in the implementation and management of this policy. The membership of the HSC will be posted on the Ideal app.
Occupational health and safety training and/or certification will be provided to members of the HSC.
The HSC shall ensure this policy is:
- Compliant with applicable health and safety legislation and regulation.
- Posted in a prominent location, and/or available on the Ideal app.
- Effectively communicated to each worker.
- Reviewed at least annually and revised, as necessary.
The HSC shall additionally ensure that:
- Regular consultation occurs between the HSC and Ideal in developing, implementing, and maintaining a safety program in accordance with the applicable health and safety legislation to implement this policy.
- Each worker is informed of this policy and receives training to enable the worker to perform work in compliance with accepted safe work practices and procedures.
- Every Ideal client is committed to ensuring each worker is notified of any potential hazard that may exist in or around the workplace, including any land, premise, location, or thing at, upon, in or near which the worker works. We encourage our clients to use HSCs to promote workplace safety. However, not all Ideal clients will have HSCs.
- Any other responsibility or obligation of a health and safety committee under applicable health and safety legislation is met.
Reporting & Recording Workplace Incidents and Injuries
Reporting
Each worker is responsible for immediately reporting a workplace injury, accident, or illness to Management. At a minimum and in every case, accident and/or injury reporting shall comply with applicable health and safety legislation.
Management is responsible for:
- Ensuring an accident or workplace injury is investigated.
- Ensuring that the appropriate accident or injury report is properly prepared following the accident or injury and issued in a timely manner to the appropriate authorities consistent with statutory and regulatory reporting requirements.
- Ensuring every reasonable step is taken to minimize the possibility of a recurrence of the accident or injury.
- Ensuring that all required records are maintained as required by relevant law.
In the event of a fatality or critical injury of a worker, or visitor or other person at the workplace, or as otherwise required by law, Management and/or the Ideal client shall ensure that the accident scene is sealed off immediately and nothing within the scene is disturbed except for the purpose of saving life, relieving human suffering, or preventing unnecessary damage to equipment or other property until the scene is released by the appropriate regulatory authorities.
In the event of a workplace accident, explosion, fire, or incident of workplace violence where a worker, visitor or other person is disabled or requires medical attention, and there is no critical injury, the incident will be reported in the manner prescribed by the applicable health and safety legislation.
Investigation
Every workplace accident or incident resulting in death or critical injury or that could have caused death or critical injury, or significant property/equipment loss must be investigated immediately.
Every accident not resulting in death or critical injury is subject to internal investigation in order to reduce the risk of a future occurrence of a similar nature.
In the event that a workplace accident was caused by the misconduct of a worker, appropriate corrective action will be taken, up to and including termination.
Management shall retain a copy of every accident or incident report made to any regulatory authority and every investigation report under this Policy.
Management shall maintain a list of every recommendation and its respective completion date from each accident investigation and shall follow up, as necessary, to ensure compliance.
Emergency Response
Emergency response procedures and contact information are posted in Ideal app.
Training & Supervision of Workers
All new workers will receive an orientation concerning this policy, health and safety guidelines and the worker’s responsibilities, including, as necessary, training regarding general safe and healthy work practices as well as specific instruction with respect to hazards specific to each worker’s job assignment. Ideal will additionally provide workers and supervisors with regular education and training on this policy to ensure that workers understand safe work procedures.
Safety Measures
Ideal endeavors to ensure the safety of every worker. To this end, each worker is asked to take the following measures:
- Remove oneself from immediate danger.
- Contact emergency services where appropriate (i.e. police, ambulance).
- Follow all policies, practices, and procedures regarding safety in the workplace.
- Let colleagues know of one’s whereabouts.
- Notify others immediately of any unaccompanied stranger or suspicious persons in the workplace.
- Use the service of building security as needed.
- Immediately advise Management of any identified or potential safety risks in the workplace.
- Become familiar with the location of all building exits.
- Use common sense. Be alert to the surroundings.
Maintaining Records
Ideal will maintain the following types of records related to worker health and safety:
- Health and safety program reviews.
- Worker orientation records.
- Inspection reports.
- Health and safety meeting records.
- Incident investigation reports.
- First Aid records.
- OSHA 300 Logs.
- Any other records related to worker health and safety required to be maintained by relevant Federal, State, or Local law.
Workers are encouraged to report any and all hazards, unsafe conditions, or unhealthy work conditions to Management or to the applicable HSC. Ideal shall protect workers from retaliation in response to complaints regarding a health and safety concern and shall provide support to workers whenever reasonably possible.
